Hosting a 3-Day Hair & Makeup Class for 50 Japanese Exchange Students | Apex Photo Studios
We had the pleasure of hosting Aubrey’s Hair Adventures for a three-day hair and makeup class with 50 Japanese exchange students—a high-energy, education-forward event with a lot of moving parts.
Aubrey’s Hair Adventures is all about immersive education experiences for hair and makeup artists, blending technique, creativity, and culture.
When you’re teaching a group this size across multiple days, the “little” logistics become the biggest pain points:
- Do we have enough room for everyone to see and participate?
- Can we control the light for a presentation?
- Who helps when something needs to change quickly?
Here’s how we helped solve those exact problems.
Pain Point 1: “We need a large enough space for 50 students—comfortably.”
For education-based events, the space has to work like a classroom and a studio: room for seating, demo areas, walking lanes, and a clean setup that stays consistent across days.
Apex supports larger bookings with studios that can accommodate up to 50 people, with an occupancy increase permit available for larger events when needed.
We also have large-format rooms designed for real production flow—high ceilings, open floor plans, and quick access for load-in/load-out. For example, Studio E is a 3,000 sq ft space with 12-foot ceilings, and it’s positioned right next to the elevator to make logistics smoother.

Pain Point 2: “We need to darken the room for presentations—then reset fast.”
A three-day class often includes presentation moments where you need the room darker, followed by hands-on time where you want the space back to normal. The issue is speed: nobody wants to lose momentum while a team wrestles with windows and light spill.
Apex offers blackout curtain installation and more advanced blackout options depending on the look and control you need.
And for events like this, what matters most is the support: having on-site help to get blackout curtains up quickly, then remove them right after the presentation so the class can continue without downtime. That same “pro workflow” mindset—light control + on-site team support—is exactly why our blackout spaces and systems are built the way they are.

Pain Point 3: “We need on-site help when needed—and a smooth check-in/check-out.”
When you’re hosting 50 students, you don’t want to burn time figuring out basic logistics. You want a process that’s clear, repeatable, and easy for the client team to manage.
Apex is structured for supported rentals with on-site staff and a workflow designed to keep production days (and event days) moving.
We were there in a jiffy to help the photographer connect the rented strobe lights to his camera, ensuring the class stayed on schedule.
We also keep the check-in/check-out process straightforward: the rental ends once the studio and equipment have been inspected by a studio assistant, all personnel/items are out, and the client signs out before leaving.
That clarity is especially valuable on multi-day bookings—everyone knows what “wrap” looks like, and resetting for the next day stays simple.
The Result: A calm, professional learning environment—three days in a row
Aubrey’s Hair Adventures came in with a clear mission: deliver an unforgettable education experience for these students. Our role at Apex was to remove friction—space constraints, light control issues, and day-to-day logistical stress—so the teaching could stay front and center.
If you’re planning a class, workshop, or training event (especially with a large group), we’d love to help you build a setup that feels organized, supported, and easy to run.
